Privacy Policy

1. Information We Collect

We collect the following categories of personal data:

1.1 Account information

• Name, username, email address, phone number, date of birth, gender, nationality and country of residence;
• Player profile data such as DUPR ID, ratings, club affiliations, and playing preferences;
• Password (stored as a salted hash; we never see your plaintext password).

1.2 Tournament Registration data

• Registrations you submit, including the categories you enter, partner details and team rosters;
• Match results, scores, brackets, rankings and statistics generated through your participation;
• Emergency contact details or medical disclosures where required by the Organizer.

1.3 Payment data

• Transaction records, amount, currency, gateway reference and payment status;
• Payment proof uploads (where applicable).

Full card numbers and bank credentials are not stored on the Platform. They are handled directly by our payment gateway providers.

1.4 Usage data

• IP address, browser type, device type, operating system;
• Pages visited, features used, timestamps, referrer URLs;
• Approximate location derived from IP address.

1.5 Media

• Profile photos and uploads you provide;
• Match photographs and video footage captured during streamed Tournaments.

2. How We Use Your Information

We use personal data for the following purposes:

• To create and manage your account;
• To process Registrations and payments;
• To deliver Tournament services on behalf of Organizers (draws, schedules, scoring, rankings, prize allocation);
• To send transactional communications (Registration confirmations, match notifications, payment receipts, schedule changes);
• To provide customer support and respond to enquiries;
• To detect, prevent and investigate fraud, abuse and security incidents;
• To improve the Platform, analyse usage trends and develop new features;
• To send marketing communications about SportsSync and Tournament offerings, where you have consented (you can opt out at any time);
• To comply with legal obligations and respond to lawful requests by public authorities.

3. Sharing and Disclosure

We share personal data only as necessary, and with the following categories of recipients:

• Organizers — the tournament organiser for any Tournament you register for receives the data needed to deliver the Tournament (e.g., participant list, contact details, match results, payment status). Organizers are responsible for handling such data in accordance with the PDPA.
• Payment processors — payment gateways, card networks and acquiring banks, to process your payments.
• Hosting and infrastructure providers — cloud and database providers that store and serve the Platform.
• Broadcast and streaming partners — where matches are live-streamed or archived (e.g., YouTube, Facebook, TikTok and our own streaming infrastructure).
• Communication providers — email and SMS gateways used to send transactional and marketing messages.
• Professional advisers — auditors, lawyers and accountants under duties of confidentiality.
• Government, regulatory or law enforcement bodies — where required by law.
• Successors — in the event of a merger, acquisition or sale of all or part of our business.

Public information such as your name, player profile, Tournament results, rankings, brackets and match scores may be displayed publicly on the Platform and in associated broadcasts.

We do not sell your personal data.

4. Cookies and Tracking

4.1 We use cookies and similar technologies to keep you signed in, remember your preferences, secure the Platform against abuse, and measure usage.

4.2 We may use third-party analytics services (e.g., Google Analytics) that set their own cookies subject to their respective policies.

4.3 You may disable cookies through your browser settings, but parts of the Platform may not function correctly without them.

5. Data Retention

5.1 We retain personal data only for as long as necessary to fulfil the purposes for which it was collected, including legal, accounting and reporting requirements.

5.2 Tournament results, rankings and brackets may be retained indefinitely as part of the historical sporting record.

5.3 Where you close your account, we will delete or anonymise personal data not required for legal or operational reasons within a reasonable period.

6. Security

6.1 We implement reasonable technical and organisational measures to protect personal data, including HTTPS encryption in transit, hashed passwords, access controls, and regular security reviews.

6.2 No method of transmission or storage is completely secure. We cannot guarantee absolute security and you provide personal data at your own risk.

6.3 You are responsible for keeping your account credentials confidential.

7. Your Rights Under the PDPA

Under the Malaysian PDPA, you have the right to:

• Access — request a copy of personal data we hold about you;
• Correct — request that we correct inaccurate or incomplete data;
• Withdraw consent — withdraw consent to processing where consent is the lawful basis (note: this may prevent us from delivering services to you, including completing your Registrations);
• Limit processing — request that we limit the processing of your data for direct marketing purposes;
• Complain — lodge a complaint with the Personal Data Protection Commissioner of Malaysia.

8. Children

8.1 The Platform is not intended for children under 13. We do not knowingly collect personal data from children under 13. If you believe a child has provided personal data to us, please contact us so we can delete it.

8.2 For Users aged 13 to 17, a parent or legal guardian must consent to the User's registration and to any Tournament Registrations submitted.

9. International Transfers

Some of our service providers (including hosting, analytics and broadcast partners) are located outside Malaysia. Where personal data is transferred outside Malaysia, we take reasonable steps to ensure a comparable level of protection.

10. Marketing Communications

10.1 With your consent, we may send you marketing communications about new Tournaments, features, promotions and partner offerings.

10.2 You can opt out of marketing at any time by clicking the unsubscribe link in any marketing email, or by contacting us.

10.3 We will continue to send transactional communications (such as Registration confirmations and security notices) regardless of your marketing preferences.

11. Changes to This Policy

We may update this Privacy Policy from time to time. The revised version will be posted on the Platform with an updated effective date. Where changes are material, we will use reasonable efforts to notify registered Users.
